A calendar as a table you can count
An .ics file is how Google Calendar, Outlook, Apple Calendar and booking systems export events. As a spreadsheet it becomes useful in new ways: add up the hours spent with a client for a timesheet or an invoice, list a term's classes, check a shift rota or keep an archive. Each event becomes a row with Subject, Start Date, Start Time, End Date, End Time, All Day Event, duration in hours, time zone, location, description, organizer, attendees, categories and status.
Times are worked out properly: each event's time zone, including Outlook's Windows names and zones defined inside the file, is converted to the calendar's own zone, yours or UTC, across daylight saving changes. Repeating events can be listed date by date up to one year from today, without the skipped dates and with moved ones at their new time, or as one row per series with its repeat rule. All-day events show the last day they cover, not the day after as in the raw file. The Excel file has real date and time cells, so sums and filters work at once.
Frequently asked questions
How do I export Google Calendar as an ICS file?
On a computer, open Google Calendar, Settings, Import & export, Export: you get a ZIP with one .ics file per calendar. To export a single calendar, open its settings and use Export calendar.
How do I export my Outlook calendar?
In classic Outlook for Windows, open the calendar and use File, Save Calendar, which saves an .ics file. In Outlook on the web, publish the calendar under Settings, Calendar, Shared calendars and download the ICS link.
How are repeating events handled?
By default every date of the series is listed, from its first date up to one year from today, without the dates that were deleted and with moved dates at their new time. Choose one row per series to get each repeating event once, with its repeat rule.
Can I add up the hours from my calendar?
Yes. The Duration (hours) column has each event's length as a number, such as 1.5. In Excel or Google Sheets, filter by Subject or by date and sum that column.
Why are the column names in English?
They follow the names Google Calendar and Outlook use in their own CSV files (Subject, Start Date, Start Time…), so they are easy to recognise and to map if you import the table into another app.
Are my calendars uploaded?
No. The calendars are read and converted by your browser on your own device and never sent to a server.
